Privacy Policy
This privacy notice sets out how Wood MediSpa uses and protects any information that you give when joining the hospital.
The hospital is committed to complying with the General Data Protection Regulation (GDPR), the Data Protection Act 2018, GMC, NHS and other standards.

What type of information do we hold?
- Personal details such as your address, date of birth, phone number and email address
- This is for the provision of health care, providing treatment plans, estimates and recalls
- Details of your NHS number and entitlement to healthcare treatment and exemption status if applicable
- Personal details of family members or emergency contact details
- Medical history including your GP’s name and address
- Past and present medical history including x-rays and photographs
- Information about the treatment we have proposed and provided along with its price.
- Notes of conversations or incidents that might occur for which a record needs to be kept
- Records of permission or consent for treatment.
- Correspondence to other healthcare professions such as referrals
- Financial information relating to your treatment
- Details of any complaints made
Why do we need to keep this information?
We need to keep records of personal information regarding our patients in order to provide safe and appropriate dental care and treatment. It is also used to maintain accurate treatment records.
We also need to process personal data about you if we are providing care under NHS arrangements and to ensure the proper management and administration of the NHS.
Our legal basis for processing data is:
- Consent
- Legitimate interest – Processing is necessary for the performance of our care for patients and for defence of legal claims
- Data relating to your health care records is classed as special category data. Our legal basis for processing this is that it falls under Legal claims or judicial acts and Health and Social Care (Article 9 UK GDPR (f,h)).
What do we do with your Information?
We will only share your information if it is done securely and it is necessary for us to do so.
Your personal information may be securely shared with other healthcare professionals who need to be involved in your care (for example if we refer you to a specialist, need laboratory work undertaken or need to consult with your doctor)
We may also share your personal information securely to third parties where we are required by law or regulation to do so. This may include:
- The General Medical Council
- The CQC/HIW/HIS/RQIA
- Payment plans or insurers
- NHS Bodies if NHS care and treatment is provided
How do we store your Information?
- Your Information is stored securely at the practice in paper form and on protected computer systems. Computer information is backed up regularly and may be securely stored away from our premises.
Retention periods
- We are required to retain your medical records, X-rays and study models while you are a patient of the hospital and after you cease to be a patient for a minimum of 7 years.
- There are several other documents that we may collect that have a variety of retention dates, for example the NHS PR form – used to declare payment exemptions – which needs to be kept for 2 years minimum. We have a retention schedule listing all documents and the timeframes for disposal. Retention periods may be changed from time to time based on business or legal and regulatory requirements
Your rights under GDPR
- Access
You have a right to access the information that we hold about you and to receive a copy. You can make a request by contacting the hospital or by e-mailing info@woodmedispa.co.uk
- Rectification
You have a right to correct any information that you believe is inaccurate or incomplete. Please contact the hospital to request a change in information.
- Erasure
You have a right to request that we delete your personal information, although you should be aware that, for legal reasons, we may be unable to erase certain information (for example, information about your treatment). Please contact the hospital to make this request.
- Restriction
You have the right to request us to restrict the processing of your personal information for example, sending you reminders for appointments or information about our service. Please contact the hospital to make this request.
- Portability
You have a right to data portability; this could include supplying your information to another consultant. Please contact the hospital to make this request.

Patient Expectations
Pricing Policy
The price you are quoted is the price you pay. This all-inclusive price covers your clinical care before, during, and after your treatment with no hidden costs.
You may choose to add on optional extras, such as hyperbaric oxygen therapy or a longer stay on our ward, at an additional cost.
Initial Consultation and Diagnosis
Initial consultations, diagnostic scans or tests, and investigations to establish a diagnosis are not part of your procedure price. After you have paid for these initial diagnostic services, you will receive a full procedure quote that includes any aftercare you need as part of your treatment. Please note that this quoted price only applies once you have completed your initial consultation and both your consultant and Wood MediSpa are satisfied that you have no pre-existing medical conditions that may alter your care pathway.
Complications and Aftercare
Your quoted price includes follow-up advice, treatment, or care that is clinically required if you experience a complication as part of your treatment or surgery. Your treating consultant will determine exactly what is clinically required as a direct result of your procedure. However, the Wood MediSpa aftercare policy does not cover situations where surgery fails to achieve the desired outcome due to known risks or limitations of that procedure.
Prosthetics and Implants
Any problems that occur with a prosthesis or implant(s) will be covered by the manufacturer’s own guarantee.
Patient Aftercare Policy
Wood MediSpa Aftercare Policy has been designed to ensure that your outcome, health, wellbeing and successful recovery are realised. Failure to adhere to this policy could put a patient’s health at risk and/or affect the outcomes of the procedure undertaken.
General information
- All Patients must attend post-operative appointments set by the Wood MediSpa Clinical Team and follow advice and guidance set out in the Patient Information provided both verbally and in written format by the Wood MediSpa Clinical Team.
- No expenses in relation to travel, accommodation or time off work will be recoverable from Wood MediSpa for the patient, chaperone, family member, or any other person.
- Failure to attend two consecutively scheduled post-operative appointments will result in Wood MediSpa being no longer obliged to offer further appointments and thus voiding the aftercare.
- If the patient moves to another area or part of the country, the patient will be expected to travel to meet with their operating Surgeon/Doctor; Wood MediSpa will not cover such travel costs.
- If a scan or other investigative work is required as part of the treatment plan, or needed to ascertain if treatment is required, this cost will not be covered by Wood MediSpa unless it is within 30 days of the original operation.
- Whilst we attempt to ensure post-operative appointments are provided within patient localities, this cannot be guaranteed, patients may be required to return to the operating hospital for aftercare services, no expenses in relation to travel, accommodation or time off work will be recoverable from Wood MediSpa for the patient, chaperone, family member or any other person.
Provision of revision procedure
- For up to 1 year after the original operation, where the patient and the original operating Surgeon/Doctor both agree that further surgery is required and is deemed clinically necessary, a revision procedure will be considered by Wood MediSpa in line with the terms and conditions and aftercare policy, if clinically appropriate, one corrective surgery will be offered. The corrective surgery, hospital accommodation (where applicable), and nursing care will be provided free of charge on one occasion. Any further requests for additional procedures will be charged at full cost.
- Patients must wait, sometimes for a period of up to 12 months, for results to settle and the final result to be realised before the formal revision process can commence.
- Any changes in appearance that have been affected by changes in lifestyle, weight fluctuation, pregnancy, illness, or the natural ageing process (all of which influence the original results of the surgery) will prevent Wood MediSpa from providing to the patient with any free of charge corrective surgery. For example, if a Patient has gained weight post Vaser procedure, or a Patient has lost weight after a Breast Enlargement Procedure, and they are experiencing rippling related to this.
- If the Patient’s Surgeon/Doctor decides that the results of the procedure fall within the acceptable normal limits of surgery, further free surgery will not be available.
- To protect patient wellbeing, we update our clinical criteria from time to time. This could affect such things as safe body mass limits, mental health status, medical conditions such as diabetes, heart conditions and the effects of medication. In these circumstances a procedure could be prevented from taking place.
- It is the patient’s operating Surgeon/Doctor who owes a duty of care to the patient, and this is the only Surgeon/Doctor obliged to perform the revision surgery if this is approved by the Surgeon/Doctor and Wood MediSpa. No other Surgeon/Doctor is obliged to offer revision surgery to a Patient who is not under their care.
- Where a revision procedure is required, the patient agrees that no expenses in relation to travel, accommodation, or time off work will be recoverable from Wood MediSpa for the patient, chaperone, family member, or any other person.
- Any variances to the revision procedure required, for example an increase/decrease in implant size, will be paid for by the patient. If the original procedure was a day case procedure and the revision procedure requires an overnight stay, this will come at an additional cost to the patient.
- If the original Surgeon/Doctor is not available, Wood MediSpa will appoint a suitable alternative Surgeon/Doctor to offer a review/second surgical opinion and determine the appropriateness for additional surgery. The Surgeon/Doctor has no obligations to perform, undertake or take over the patient’s care, but their opinion will be communicated to the original operating Surgeon/Doctor.
- Wood MediSpa will not cover the cost of any corrective surgery performed by any other provider or Surgeon without having been made aware and agreeing in advance.
- For up to 3 years from the date of the original surgery, Wood MediSpa and the Surgeon will approve one corrective surgery, if clinically appropriate, where capsular contracture of a Baker Grade 3 or above is diagnosed. Should the patient wish to change their implant to anything other than like-for-like, a fee will be applicable.
- For up to 3 year from the date of the original surgery, Wood MediSpa and the Surgeon will approve one corrective surgery if clinically appropriate, where implant rupture is confirmed by USS or MRI scan; however, patients are advised to refer to their implant manufacturer warranty. Should the patient wish to change their implant to anything other than like-for-like, a fee will be applicable.
- If the patient has their implants removed by another cosmetic surgery provider for any reason, and such implants are found to be ruptured, Wood MediSpa will not be responsible for any implant related costs. The patient should contact the implant manufacturer to take advantage of the implant warranty/guarantee.
- Additional breast implant cover may be provided by implant manufacturers, and on request separate information will be provided outlining this cover.
